This page is intended to provide guidance for the CLAS Faculty Fellowship Policy. Questions about this guidance should be sent to the CLAS Associate Dean for Research (ADR) at clasadr@clas.ufl.edu.
As a general rule, “fellowships” are awards that provide financial support to researchers pursuing individual scholarly or creative projects. This guidance covers faculty fellowships for which the application is submitted by, and any resulting award is made to, the individual (in contrast to sponsored projects such as contracts and grants, on which UF formally serves as the applicant and the recipient). Faculty fellowship support may take various forms, including a lump-sum or monthly stipend, a housing allowance, and/or relocation expenses; it generally does not include “facilities and administrative” costs (F&A costs, sometimes termed “indirect costs” or “overhead”) payments to the university. At the end of the fellowship award period, the recipient is usually required provide the sponsor with a general report about the work supported by the award.

College Pre-Approval Needed
If you are awarded an external fellowship, in most cases the college will provide you with financial support and your unit will need to cover your teaching duties. To allow department/center and college evaluation of possible resource commitments, you must seek and receive formal approval before you apply for any external fellowship. With the sole exception of certain awards from the Fulbright U.S. Scholar Program, such approval is obtained online through the UF InfoReady portal linked at the bottom of this page. To ensure on-time submission of your fellowship application, you should complete a CLAS Faculty Fellowship Approval request in InfoReady and route it to your chair/director at least 15 UF business days ahead of the sponsor’s deadline.
Fellowship Award Management
Options for Management
A fellowship award must either be managed by the university or self-managed by the recipient. Please review the detailed explanation of each option on the Faculty Fellowship Award Management page. The terms of some fellowships require university management, others stipulate self-management. For fellowships that allow the recipient to choose which form of management they prefer, university management is usually the best practice. (The benefits of university management are more limited for small travel-support awards, such as Travel-to-Collections Fellowships, that provide recipients with no salary or stipend. In such cases, applicants may prefer the reduced up-front bureaucracy associated with self management.)
Prior to Applying for your Fellowship
The CLAS Faculty Fellowship Approval request requires you to indicate which management option you will take; you may NOT defer this until you receive the award. Before selecting self-management of any award that provides salary or stipend funds, you are strongly advised to consult the Associate Dean for Research (clasadr@clas.ufl.edu) to discuss the implications for your pay, taxes, employment benefits, and UF recording of your professional activity.
Upon Receiving your Fellowship
Regardless of the management option you indicated, upon sponsor notification that you have been awarded a fellowship, you must immediately contact the Associate Dean for Research (clasadr@clas.ufl.edu) to discuss details about the receipt of the award.
Ready to Complete a CLAS Faculty Fellowship Approval Request?
Follow these steps to access the CLAS Faculty Fellowship Approval Request in a system called InfoReady. In InfoReady, you will complete an electronic request, which you will be guided to route to your chair or director for their approval. It will then be forwarded to the Associate Dean for Research.
